Property Management Insights
Managing your own rental property on Oahu can seem like a straightforward way to save money. But pricing mistakes, extended vacancies, maintenance issues, tenant screening problems, and missed legal requirements can quickly make self-management more expensive than expected.
Successful rental management requires more than finding a tenant and collecting rent. It takes local market knowledge, consistent oversight, responsive communication, and an understanding of Hawaii’s landlord-tenant requirements. Here are seven common mistakes Oahu rental property owners make when managing properties themselves, along with ways to avoid them.
1. Pricing the Rental Property Too High or Too Low
Setting the right rent is one of the most important decisions you will make as a landlord. Price too high, and a property can sit vacant while competing rentals secure tenants. Price too low, and you could leave significant income on the table over the course of a lease.
Online rental estimates can provide a starting point, but they don’t always account for the characteristics that affect an individual Oahu property’s rental value, including its exact location, condition, views, parking, amenities, upgrades, and competing inventory.
How Caron B Realty Property Management helps: We evaluate current market conditions and comparable properties to develop a rental pricing strategy specific to your property. Just as importantly, we monitor the property’s performance after it goes on the market so the strategy can be adjusted when necessary.
2. Losing Money to an Extended Vacancy
Every week a rental sits empty represents income that cannot be recovered. For example, a rental priced at $4,000 per month represents roughly $133 in potential gross rent per day. A 30-day vacancy could therefore mean approximately $4,000 in unrealized rental income, before considering ongoing expenses such as HOA fees, utilities, insurance, maintenance, and mortgage payments.
Sometimes owners hold out for a higher rent without considering whether the additional vacancy will erase the benefit. Accepting $3,900 rather than $4,000, for example, is only a $1,200 difference over a 12-month lease. An additional month of vacancy while pursuing that extra $100 per month could cost considerably more.
How Caron B Realty Property Management helps: We approach leasing as a combination of pricing, presentation, marketing, showing activity, and responsiveness. Our objective is not simply to achieve the highest advertised rent. It is to help owners balance rental income with vacancy risk and overall property performance.
3. Not Screening Tenants Thoroughly and Consistently
A tenant who looks good on paper isn’t necessarily the right tenant for your property. A thorough and consistently applied screening process helps owners make informed decisions and reduce risk. At the same time, screening practices need to comply with applicable fair housing requirements. Rushing because you want to fill a vacancy can create problems later. Taking too long can be costly as well because a qualified applicant may move on to another property.
How Caron B Realty Property Management helps: We manage the tenant placement and screening process as part of our full-service rental management services. This creates a more structured leasing process for the owner while helping prospective tenants move through the application process efficiently.
4. Treating Maintenance as a Reactive Expense
Waiting until something breaks can become an expensive way to maintain an Oahu property. Hawaii properties require ongoing attention, and smaller maintenance concerns can become larger ones when they’re overlooked. Self-managing owners also have to find vendors, schedule access, evaluate estimates, follow up on work, and respond when an urgent problem occurs.Preventive attention is especially important for owners who don’t regularly visit the property themselves.
How Caron B Realty Property Management helps: We coordinate routine and emergency maintenance and work with a network of vendors. Our goal is to address issues promptly and help owners stay ahead of maintenance rather than constantly responding to problems after they escalate.
For owners who don’t rent their properties, our estate management services provide another level of ongoing property caretaking, using customized checklists, maintenance coordination, updates, and photos. Learn about our Estate Management services here.
5. Making Mistakes With Hawaii Landlord-Tenant Requirements
Managing a rental means taking on legal and administrative responsibilities, and Hawaii has specific rules governing the landlord-tenant relationship. Security deposits are one example. Hawaii law generally limits a residential security deposit to no more than one month’s rent, and landlords have 14 days after the rental ends to return the deposit. If part of the deposit is retained, the landlord must provide written information explaining why it is being withheld.
That is just one part of rental management. Hawaii’s Department of Commerce and Consumer Affairs maintains a handbook covering residential rental agreements, landlord obligations, access, tenant obligations, security deposits and other aspects of the state’s Residential Landlord-Tenant Code.
How Caron B Realty Property Management helps: Staying current on Hawaii rental requirements is part of our property management approach. We manage leases, security deposit funds, and other aspects of the landlord-tenant relationship as part of our full-service management.
6. Under-Marketing the Rental Property
Putting a rental online and waiting for inquiries isn’t a complete marketing strategy. Renters compare properties based on price, location, condition, photography, amenities, convenience, and how effectively the property’s advantages are communicated. A property can be excellent in person and still under-perform if its online presentation doesn’t make that clear.
Marketing also involves responsiveness. A prospective tenant who doesn’t receive a timely response may simply move on to another property.
How Caron B Realty Property Management helps: Our approach combines property management with the marketing experience of a real estate brokerage. Depending on the property, our marketing may include professional photography, property video and targeted marketing designed to showcase the rental effectively. The goal is to present the property professionally from the beginning, rather than waiting until a listing has been sitting on the market to rethink the strategy.
7. Underestimating How Much Time Property Management Takes
This may be the most overlooked cost of managing a rental yourself. Tenant inquiries, showings, applications, rent collection, maintenance requests, vendor scheduling, inspections, documentation, lease administration and accounting all require time. The workload can increase dramatically when there is a maintenance emergency, turnover, late payment or other unexpected issue.
For owners who live off-island, travel frequently, have demanding careers, or own multiple properties, that time commitment can become particularly burdensome.
How Caron B Realty Property Management helps: Our full-service approach is designed to take the day-to-day management of the property off the owner’s plate. We manage the tenant-landlord relationship, lease preparation, routine and emergency maintenance, financial reporting, security deposits and rent collection.
Is Self-Managing Your Oahu Rental Property Really Saving You Money?
It’s easy to focus on the property management fee because it’s a visible expense. But the true cost of self-management should also include vacancy, potentially missed rental income, maintenance inefficiencies, your time, and the financial consequences of preventable mistakes.
The better question isn’t simply, “How much does property management cost?” It’s “How well is my rental property performing without it?”
If your property is taking too long to rent, maintenance is consuming your time, or you’re simply ready to step away from the day-to-day responsibilities of being a landlord, professional management may be worth considering.
